Run your entire distribution business in one system

Orders, picking, production, delivery, invoicing, payments, statements — and your books. Every order flows to the truck, to the invoice, to the ledger. Nothing typed twice. Screens so clear your whole team learns them the same morning. Built for distributors — and for producers who sell what they make.

Built by a distributor, running a real food & beverage operation every day — and equally at home with paper, janitorial, and produce.

Most distributors glue together an ordering portal, delivery software, an invoicing tool, and accounting — then spend their evenings re-keying data between them. SupplySmart replaces the whole stack, and the re-keying, for less than the portal alone.

On QuickBooks today? You can keep it if you want: invoices, payments, bills and expenses post there automatically.

Powerful underneath. Simple on the surface.

Software only works if your people actually use it. Every screen here is built to be understood at a glance — no training week, no accounting-speak.

Everyone learns it in minutes

Your counter person, your driver, your bookkeeper, your customers — the screens are plain enough that nobody needs a manual.

Your business at a glance

From this morning's orders to this month's profit — big clear numbers on every page tell you where you stand the moment you look.

Financial health, not homework

Receivables, aging, P&L, balance sheet — kept current automatically as you operate, readable without an accounting degree.

Everything inside

One login. Every job in the building. Shown exactly as it looks.

Your own ordering portal

Customers browse your catalog and order at your web address, under your brand — with their prices. Per-customer pricing and price levels built in, not an enterprise add-on. Reorder from history in two taps, or set a standing order once and it places itself the evening before every delivery day. Let customers change or cancel until your cutoff — the 8 PM phone call becomes a tap.

Picking slips & production

Orders roll up into pick lists and production totals automatically — grouped by vendor or kitchen, so each supplier sees exactly what to make for the day. The warehouse works from live numbers, not a printout of yesterday.

Delivery that talks to your invoices

Drivers work their stops on a phone: one tap when everything is there, then only what's short or substituted, plus proof-of-delivery photos. A short found in the warehouse is recorded before the truck leaves, so the driver sees 3 of 5 and taps nothing. Every change flows straight into the invoice — the end of billing for cases that never left the building.

Invoicing & receivables that chase themselves

Invoices generate from delivered orders — or print one at the warehouse and send it with the goods; anything short at the door becomes a credit memo, the invoice is never changed. Statements with pay links go out on schedule. Aging buckets show who's drifting past terms before it becomes a problem. Getting paid a week faster pays for the software by itself.

Payments, your way

Card and ACH through a pay link on every invoice and statement — with surcharge handling — plus checks, Zelle, and cash recorded with allocations across open invoices. Partial payments handled properly, not as a workaround. Card processing is powered by Stripe — card numbers never touch our servers.

Your books, kept automatically

Every order, invoice, payment, bill, and expense lands in the ledger as it happens. P&L, balance sheet, vendor bills, credit cards, loans — your accounting happens as you operate, not as a weekend project. Drop in your bank statement and the lines match themselves; the stragglers file as an expense or a payment in one tap. And the Cash page answers the owner's real question: how much can we take out today? Prefer to keep QuickBooks Online? Connect it from Settings and everything you invoice, collect, get billed for and spend posts there by itself, one way, under the same numbers.

Promotions that run by themselves

Buy 2 get 1 free, a percent off, a special price, or $10 off orders over $200 — pick the products, the customers (or everyone) and the delivery dates, and it happens by itself. Customers see the deal in the shop before they order and what they saved in the cart; free cases ride along as real lines the driver checks off. A report shows what each promotion cost and whether those customers bought more.

Inventory that keeps itself

Turn tracking on for the products you stock, skip the ones you order against demand. Deliveries deduct stock automatically, purchase orders add it back when you receive, and physical counts take seconds — with a shrinkage report that shows exactly where the difference between counted and expected went.

Make what you sell? Recipes, materials, labor

For bakeries, kitchens and producers who sell their own products: each product gets a recipe — ingredients per batch, waste, labor minutes, overhead — and a cost per unit that updates as you type, with ingredient prices pre-filled from your latest vendor bills. The Production Report turns a day's or a week's orders into the materials to buy and the hours to staff. Production labor counts as cost of goods, so your margins are real. Off by default; turn it on when you need it.

Spreadsheet imports

Customers and products imported from a spreadsheet in minutes. Your data is in by lunch on day one.

Customer email

Campaigns and announcements to your customer list, sent from your brand.

Logins for the whole team

One customer account, many logins: the owner invites the bookkeeper or manager, each with their own password, revocable anytime. Owners with two businesses get one login and a switcher.

DSD? Print at the door

Running direct-store-delivery routes? Drivers and reps can print a 3″ receipt invoice from their phone the moment the stop is done. Not every distributor needs it — if you do, it’s built in.

Fully white-label

Your name, your color, your web address — customers see your business, not ours. Custom domains included.

Your data, always yours

Export everything — customers, orders, invoices, books — anytime, in one click. Never hostage.

From a distributor who runs on it

“Our business could not survive without it.”

Our customers have instant access, from any device, to a live, continuously updated price list, and ordering through our own web address makes the whole system look like a bespoke package built for our business.

On our side, orders flow straight into production reports, delivery and invoicing instead of being re-typed between systems, we have real-time visibility into every delivery, and we no longer collect and process signed delivery notes. It creates significantly less administrative work.

Customers have every payment option, so there are no excuses for late payments, and a simple dashboard shows me immediately who owes what. It brings ordering, production, delivery, invoicing and receivables into one system and saves multiple hours across our drivers, administration and management. In practical terms, it has saved us the need for an additional full-time employee.

A note from the founder

I run a wholesale food distribution business. SupplySmart exists because I got tired of gluing together an ordering portal, delivery apps, and QuickBooks. So I built one system, and I run my own company on it every day. Every feature in here exists because a real route, a real short on a truck, or a real unpaid invoice demanded it.

Common questions

Do I have to leave QuickBooks?

No. Connect your QuickBooks Online company from Settings and your invoices, credit memos, customer payments, vendor bills and expenses post there automatically, so your bookkeeper keeps working exactly as before. Start with ordering, delivery, and invoicing; most distributors find the books keep themselves here as a side effect of operating, and switch when they're ready. Nothing forces the move.

Is this only for food & beverage?

It was built inside a food & beverage operation, so that world fits like a glove — but the workflows are the same for any distributor who delivers on their own trucks and invoices repeat customers on terms: paper, janitorial, produce, beverages. If that's how you operate, this runs your business. Bakeries, kitchens and other producers who sell what they make get recipes, materials and production labor on top, with one switch.

What about inventory tracking?

Included, and opt-in per product — track the items you stock, skip the ones you order against demand. Tracked products get counts, on-hand and available-to-promise, automatic deduction when deliveries go out, and purchase orders that add stock back when you receive. It's built for distributors, not a warehouse system: no lot numbers, expiry dates, or multi-warehouse.

Is my data safe?

Each business's data is fully isolated from every other business on the platform, enforced at the database level. Everything is encrypted in transit, payments run entirely through Stripe so card numbers never reach us, and the database is backed up daily — and we rehearse restoring it. And you can export your complete data anytime — it's your business, not ours. The details are on our Security page, and our Data Processing Addendum is part of every account.

What support do I get?

Every new member gets a free 45-minute onboarding call and free data import — we'll load your product and customer lists for you. After that, support is a message away from inside your dashboard, and we usually reply within 1 business day.

How hard is switching?

Your customer list and product catalog import from spreadsheets in minutes — that's usually the whole migration. Open balances can be entered as starting invoices. Or skip the spreadsheets entirely: send us your lists in any format and we'll load them for you, free. Most distributors take their first real order the same day.
